PDF Rendering
We've updated the PDF rendering within the app and engage portal to utilize the Adobe PDF Embed API. This allows for additional functionality and capabilities when viewing pdfs.
- Clickable Links: You can now click links within a pdf and it will open that link in a new tab (also asks you first before just opening)
- Searchable PDF: You are able to search for text throughout the entire pdf
- Annotations: Within the app portal, staff can annotate on a pdf and save those annotations to their computer (currently there's no way to collaborate on those annotations within the app itself)
- Download/Print: Download and Printing options are now right inside the pdf renderer
- Pinch/Zoom: You can pinch and zoom the documents on touch enabled devices (or which touchpads if the device supports it)
Meetings
- When printing an agenda's cover sheet before publishing the meeting it will add the verbiage "This is a Draft" automatically into the print out
- When working on a meeting's agenda anything assigned to a user via an approval will also show the name of the flow the assignment is following in addition to the name of who it's assigned to
Live Meetings
- Added ability to upload and use a different logo for our live feed. You can also upload a different logo for each room if you run meetings in multiple locations.
- To update the logo go to Settings => Rooms => and choose the room. There you will see an option called "Live Logo" where you can upload a new logo.
- You can also click "Preview" to see how the new logo will look
- Modified requirements on Live Speaker Signups so there's no character limit on the name or exclamation circle next to it to notate it's a required field
- Removed Citizens name from the live feed timer. (It will still show on the board member's screens while the timer is active)
Actions
- Manager and Approver roles now have ability to edit an agenda item's details if they aren't currently assigned to it. Previously it was only allowing admin role to do this.
- On the actions list it will now show the name of the approval flow along with the user's title in the actions list for anything that has an approval assigned to it
Approvals
- You can now drag and drop to re-order the list of approvers on any specific board
- Users with the Approver role now have the ability to click and choose from a list instead of just a simple button to approve to the next step
- When duplicating an item, it will utilize the original items approval flow and originator to trigger the same process with the duplicated item. Thus it will assign it to the originator of the original item and utilize the same approval flow but just start it from the beginning.
- When extending an agenda item that was utilizing an approval flow it will review the new board it's being moved to and if there's a flow for that board it will reset the flow back to the originator for the new board.
- Added a confirmation for single click approval with standard users to prevent accidental clicks. The confirmation will also tell them who they are about to assign it to
- Email notifications now also include the meeting the items on along with the flow's name and it's number/letter on that agenda
Misc
- Updated the agenda and minutes headers on the engage site so that the schedule date has a bold font weight and updated it so that everything is aligned on the left just like it shows you in the headers/footers section when building a board template
- Added user titles to drop down selections for custom fields when creating agenda items
- Removed ability for standard users to be able to create a template from the file menu of an agenda item
- Removed "Preview Packet" on meeting build. Instead now use "Public Preview" to preview the information that will be delivered to the public.
- Optimized queries for the actions section to get better performance and quicker results. It also now limits the returned information to the last 50 modified items. If you want something specific simply search or apply filters to find.
Bug Fixes
- If you changed the schedule of a meeting and returned back to the meeting list the change wasn't reflected and you had to refresh to see the updated schedule
- When duplicating an item from the actions section the list of items wouldn't refresh upon closing the item you duplicated
- When duplicating an item the sub items field was not being duplicated
- There was an internal issue with CRUD logic that could cause a meeting to appear locked if a user opened an agenda item that wasn't assigned to them and then returned back to the meeting building view.
- Resolved an issue where if a user was an originator and also further down the line in the approval process plus their role is a standard user it would cause clicking the approve button to jump not to the first person in line but whatever was after them in the other spot in the approval flow
- When working on minutes and you open an item that had a long overview section it was cutting off the information and not scrolling
- Custom fields were not populating on agenda items when looking at agenda items from the meeting minutes view
